Booking Rooms: Process and Protocol
The objectives of the following established booking rules are 1) to give members ample time to plan their winter trips, 2) to allow flexibility in booking to suit individual members requirements and desires, and 3) to provide preference to members over guests, at peak times.
To book a room at Skibo, check current room availability on the reservations spreadsheet, then fill out our new Online Booking Form to the right. This will enter a room request in a spreadsheet, which the Reservation Manager will review and assign rooms accordingly in the reservations spreadsheet. Once the booking manager has received and processed your payment, they will confirm your reservation by putting your name in CAPS on the reservations spreadsheet. Reservations can be made
as long as your membership dues have been paid. If you are paying by check, your payment must be mailed the day after the booking request is submitted. The reservation is not firm until the check has been received.
The booking "season" starts at the Annual General Meeting & Dinner in October.
Only bookings up to and including Thanksgiving will be accepted before
then. On holiday weeks, holiday weekends and Club events members have priority to lodging. Depending upon availability, rooms will be opened up for guests 2 weeks before the weekend in question.
Members are asked to initially limit winter bookings to 4 rooms. (e.g. 1 room on each of 4 weekends, or 2 rooms on 1 weekend together with 1 room on each of 2 other weekends.) Dorm beds and low season bookings do not count towards the 4 room limitation. After the first full weekend in January, the 4 room limitation is lifted and members may book additional rooms.
An entry of your name on the reservations spreadsheet. guarantees a room, but not necessarily the specific room listed. The reservations manager reserves the right to re-arrange rooms at the last minute to
accommodate all members who wish to come up. For example, as there are a number of families with 3+ children, room #8 may be allocated to them. If you would like room #8 please also provide an alternative family room.
Payment of balance charges are due immediately after a visit - for example if you had an unexpected guest or used more linens than you anticipated. Please note what these charges are for so they can be properly processed by our Treasurer / Reservations Manager.
Breakfasts are not provided, but coffee, tea, cocoa and other condiments are available at no charge. Please bring all your necessary food supplies and mark them with your name.
The Reservation Manager shall select a Weekend Host / Hostess and inform him/her accordingly. All senior members are expected to serve as a weekend Host/Hostess. The room/dorm list will be established on Thursday and will be posted on the bulletin board.
Cancellations
Cancellations must be made by Monday 8 PM prior to the weekend reserved in order to be refunded. After Monday at 8, you will receive a 50% refund. No shows receive no refund. There are no exceptions to these rules.
Guests
Only a member can make reservations for his/her guests. Any member not accompanying his/her guest shall designate and ask another member to take the responsibility for the guest in question. During holiday weeks and a few special weekends, members have priority to lodging. Guests for dinner are always welcome as long as there is room at the tables and the Host/Hostess is in agreement. Guests pay the same for dinner as members. Guests as well as supporting and prospective members pay guest lodging charges.
Organized Dinners
On some weekends, a group dinner may be arranged Saturday night. This is organized by those staying at Skibo for the weekend, not by the Reservations Manager. Check the reservations spreadsheet to see who will be sharing the lodge with you. Member contact information is available from the Membership Chair.
